About the role
The Membership and Profession Services Support Officer provide high-quality operational, administrative and coordination support to the membership and professional services team to ensure the effective delivery of HIMAA's membership and profession services. Working closely with internal stakeholders, the position supports the implementation of initiatives that strengthen member engagement, uphold professional standards, and enhance the value of membership. The role assists in maintaining accurate member data, responding to member enquiries, and ensuring efficient membership services are provided. The role contributes to delivering a seamless and positive member experience by supporting key service areas including credentialling administration, CPD tracking and program coordination, professional development activities, events support, and membership services.

Key responsibilities

  • Create, edit and maintain data within the membership database.
  • Undertake data cleansing and reconciliation activities to ensure data accuracy in the system.
  • Provide timely and high-quality administrative support for membership, including responding to enquiries related to membership applications and renewals and triaging and responding to enquiries relating to career development, credentialling, CPD and professional practice.
  • Attend and respond to member and stakeholder related enquiries in a timely, responsive and high-quality manner, providing information that meets their needs.
  • Run reports to provide data to Membership Officer and Manager, Member and Profession Services for their analysis and reporting purposes, or to third parties such as Branch Convenors, external subscriptions.
  • Assist in collecting, validating member data for conference registration and AGM purposes.
  • Provide administrative support for credentialling and professional recognition activities, ensuring processes are efficient, accurate and aligned with organisational requirements.
  • Assist in the administration of CPD and professional development activities, including scheduling, registrations, and post-event evaluation.
  • Provide administrative support for profession-facing events, engagement activities and related programs to ensure smooth delivery and positive member experiences.
  • Provide administrative and secretarial support for HIMAA committees related to member and profession services.
  • Provide administrative support for industry sponsorship, including maintaining records and supporting communications.
  • Provide administrative support to branches as needed which may include communications, meeting support and resource distribution
  • Coordinate and administer WorkWeb enquiries and transactions, ensuring timely and accurate responses.
  • Contribute ideas and undertake administrative tasks to assist with the development and continuous improvement of member and profession services, systems and resources

About you

  • Experience working with CRM systems or databases, including maintaining accurate records, data entry and supporting reporting activities.
  • Experience in an administrative or support role contributing to member services, professional programs or engagement activities within a membership association, professional body, health, education or similar environment.
  • Well-developed interpersonal and communication skills, with the ability to interact effectively with members, volunteers, branches, and stakeholders.
  • Strong written and verbal communication skills, including the ability to draft routine correspondence and assist in report preparation.
  • Customer service focused: committed to providing exceptional customer service across all channels – written, phone and face to face.
  • Excellent attention to detail and written skills when communicating with others, both internally and externally.
  • Ability to maintain privacy and confidentiality of data and requisite business information.
  • Ability to work under pressure and deliver to timeframes.
  • Ability to work independently and as part of a team.
  • Eligibility to work in Australia.
  • No mandatory qualifications are required for this role, although relevant certificates and qualifications will be viewed favourably.

  • Successful passing of criminal record check prior to appointment.
  • Access to reliable internet and suitable home-based office environment.
  • Availability to travel if required of the role, for example to attend an annual all team in person meeting/workshop.
